We are now hiring for multiple positions:

Office Manager, Head of Maintenance, Maintenance Support Staff, and Park Greeters

Office Manager

This is a part-time, seasonal position beginning on or about April, 2023. The Office Manager will work an anticipated 20-25 hours per week for 38-42 weeks per year (hours will fluctuate seasonally), with the possibility of additional hours, depending on the needs of the Park and the Office Manager’s availability. Work is expected to be conducted on site at VCCP, except for special off-site events that may occur. This is a non-leave-earning position.

The role of the Office Manager of the Valle Crucis Community Park is to organize and coordinate administration duties and office procedures, working to create and maintain a pleasant work environment and ensuring high levels of organizational effectiveness, communication and safety. This position requires a willingness and ability to work during non-standard hours for meetings and events. They must demonstrate a commitment to the Park’s mission: “To provide a safe and peaceful recreation resource and gathering space for our community, preserve open space, and educate our visitors about natural resources and the importance of protecting them for future generations.”

Essential Duties and Responsibilities:

  • Serve as a representative of the Park when interacting with Park patrons and with members of the broader community
  • Respond to incoming Park Office phone calls, mail, and email
  • Manage volunteer scheduling and recruitment
  • Manage Park merchandise inventory and office supplies
  • Maintaining the office and arranging necessary maintenance
  • Primary responsibility for processing reservation requests and maintaining the reservation calendar
  • Assist with Park fundraising and donor relations activities, including:
  • Sending timely acknowledgements for donations received
  • Updating the donor database
  • Cultivating current and prospective donors
  • Assist with other Park office duties such as printing signage, record-keeping, and correspondence
  • Assist with Park communications including social media, printed promotional materials, web-based communications, etc.
  • Monitor individuals and groups using the park to enforce Park policies
  • Provide direction to Park maintenance staff members, in consultation with the ED
  • Assist with collecting parking donations on weekend days from indeed
  • Memorial Day through the end of October
  • Monitor bathroom supply levels and cleanliness and service bathroom facilities as needed if Park maintenance staff are unavailable
  • Empty trash, recycling, and Dogi-Pot stations as needed if Park maintenance staff are unavailable
  • Assist with regularly assessing Park facilities to ensure safety and security
  • And other duties as assigned by Executive Director

 

Head of Maintenance

The Head of Maintenance for the Valle Crucis Community Park (VCCP) is responsible for the maintenance, care, and improvements of the VCCP. The Head of Maintenance will ensure that these grounds are kept in top condition for full, safe, and productive use. To accomplish these tasks the Head of Maintenance will work closely with the Park Executive Director, Maintenance Staff and the VCCP Board. This position reports to the Executive Director. Monthly meetings will be held with the Executive Director and quarterly assessments will be made by the Board to ensure that the Park is properly maintained. 

Essential Duties and Responsibilities:

  • Oversee the maintenance and care of the Park grounds, facilities and equipment.
  • Prepare a monthly maintenance report for ED to present at Board meetings.
  • Keep a daily work log. 
  • Maintain a regular, posted schedule for the maintenance team that includes staffing for daily maintenance coverage and special projects. Deviations from the posted schedule, unless in emergency situations, need to be approved by the Executive Director.
  • Carry a walkie-talkie during work hours so that you can be contacted while out in the Park grounds.
  • Maintain an inventory list of all commonly-used supplies.
  • Discuss anticipated equipment or other maintenance purchases with the Executive Director. 
  • Participate in scheduled meetings & engage with the Facilities Committee as needed to discuss park facilities.
  • Meet monthly with Maintenance Staff.

Grounds Maintenance:

  • Monitor conditions of the paved walking paths and grass paths regularly and arrange for repairs or maintenance as needed, in consultation with the Executive Director. Clear weeds around benches, trees, and other structures within the Park.
  • Monitor conditions of the river bank and high-use areas of the Watauga River regularly to identify potential safety hazards, and work with the Executive Director to address problems identified.
  • Clean out all Dogi-Pots daily or as needed.
  • Empty all trash and recycling receptacles as needed.
  • Oversee the mowing of the grounds as needed throughout the mowing season.
  • Oversee periodic mulching of playground equipment and gardens as needed.
  • Oversee or carry out other maintenance as needed (e.g., reseeding grass, setting stones in memorial areas, etc.)

Memorial Maintenance:

  • Maintain & weed memorial brick garden, perform quarterly brick install.
  • Oversee installation of memorial features and plaque placement.
  • Conduct monthly checks of all memorial installations to ensure they are in good and safe condition. 
  • Make arrangements for memorial tree care and replacement of trees as needed.

Equipment Maintenance:

  • Perform routine maintenance on Park equipment per the equipment maintenance schedule.
  • In consultation with the Executive Director, make arrangements for other equipment maintenance or repairs that need to be done by an external vendor.
  • Make sure that all tools and equipment are stored in a secure and organized manner. 

Park Buildings Maintenance:

    • Maintain the safety and security of the stage area throughout the year, by performing weekly maintenance during the summer Music in the Valle season and securing and winterizing the structure at the end of the summer Music season.
    • Conduct regular assessments of all playground equipment for safety or necessary repairs, in consultation with the Executive Director.
    • Maintain a clean and orderly space in the maintenance closet, tool sheds, and other storage areas so that supplies are visible and readily accessible.
    • Create and adhere to daily, weekly and monthly cleaning schedules & checklists for bathrooms, office, & conference room.
    • Assess the condition of pavilions daily during periods of high use during summer and fall and clean or maintain as needed.
    • Order Park bathroom supplies (toilet paper, paper towels, soap, etc) as needed through the established vendor. Order in bulk when possible to save money & time.

Special Events Support:

  • Assist with and oversee set-up for special events such as Music in the Valle.
  • Provide maintenance support during events such as weddings, parties, sporting events, and other large events.
  • During summer weekends or holidays or other events when Park use is high, assist with parking management (e.g., providing access to the grass parking area).

 

Park Greeter 

(Hiring Multiple Candidates)

As a Park Greeter, your focus will be to welcome visitors, direct guests and program participants, facilitate our parking donation initiative, and to serve as a representative of the Valle Crucis Community Park. 6-14 hours per week on Fridays, Saturdays, and/or Sundays during the months of May through October. Starting pay: $15/hour.

Essential Duties:

  • Primary responsibility for facilitating a parking donation initiative which includes helping to educate patrons about our status as a community-funded, nonprofit Park and collecting donations at the Park entrance on weekend days during our peak season (Friday – Sunday, Memorial Day – October).
  • Be knowledgeable about Park facilities, history, current events/program offerings, Friend of the Park membership program, and other fundraising initiatives.
  • Manage overflow parking when needed to ensure safety of patrons and integrity of Park property.
  • Be able to responsibly handle and count money, fill out a daily checkout sheet, etc., per the established procedures.

Other Duties:

  • Monitor individuals and groups using the park to enforce Park policies.
  • Assist as needed and as available with Music in the Valle or other special events
  • Monitor bathroom supply levels and cleanliness and service bathroom facilities as needed if Park maintenance staff are unavailable.
  • Empty trash, recycling, and Dogi-Pot stations as needed if Park maintenance staff are unavailable.
  • The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned to the employee from time to time OR the scope of the job may change as necessitated by business demands.

 

Maintenance Staff Member 

(Hiring Multiple Candidates)

Essential Duties:

  • Mowing the grounds as needed throughout the mowing season.
  • Clear weeds around benches, trees, and other structures within the Park.
  • Assist with maintenance of flower beds and other memorial areas.
  • Report any observed maintenance needs for memorial installations to the Executive Director to ensure they are in good and safe condition.
  • Clean out all Dogi-Pots at least weekly, or more often as needed.
  • Empty all trash and recycling receptacles as needed.
  • Pick up trash on Park grounds, parking lot, and driveway regularly (daily during the busy season).
  • Report any observed maintenance needs for the paved walking path and grass path to the Executive Director.
  • Report any observed safety hazards regarding the condition of the river bank and high-use areas of the Watauga River to the Executive Director.
  • Assist with other maintenance as needed (e.g., reseeding grass, setting stones in memorial areas, etc.)
  • Perform routine maintenance on Park equipment.
  • Make sure that all tools and equipment are properly stored in a secure and organized manner.
  • Maintain a clean and orderly space in the maintenance closet, tool sheds, and other storage areas so that supplies are visible and readily accessible.
  • Clean all restrooms daily, including toilets, sinks, mirrors, and floors.
  • Check and empty or replenish as needed trash receptacles and paper products in all restrooms. 
  • Assess the condition of pavilions daily during periods of high use during summer and fall and clean or maintain as needed.
  • Report any observed safety or maintenance needs for playground equipment to the Executive Director.
  • Help maintain the safety and security of the stage area throughout the year, including weekly maintenance during the summer Music in the Valle season and securing and winterizing the structure at the end of the summer Music season.
  • Assist with and oversee set-up for special events such as Music in the Valle.
  • Provide maintenance support during large events such as weddings and parties.
  • Provide maintenance support (e.g., parking, restroom cleaning, etc.) during soccer games and other large events like Blood, Sweat, and Gears.
  • During summer weekends or holidays or other events when Park use is high, assist with parking management (e.g., providing access to the grass parking area).

Other Duties:

  • Maintain a regular, posted schedule. Deviations from the posted schedule, unless in emergency situations, need to be approved by the Executive Director at least two weeks in advance. This includes extended time off so that plans can be made for maintenance coverage. 
  • Discuss anticipated equipment or other maintenance purchases with the Executive Director. 
  • Carry a walkie-talkie or cell phone during work hours so that you can be contacted while out in the Park grounds.
